Running a content portfolio audit

How to find duplicates, dead content and licence waste across every library you pay for.

Build the inventory first

List every content source: LMS libraries, vendor subscriptions, internal repositories, departmental drives. Capture title, owner, version, licence terms, renewal date and cost.

Join usage to cost

Pull enrollments and completions per item over 24 months. Content with a licence cost and no usage is the first list to review.

Find overlap

Similar titles across vendors, superseded versions still published, and the same course uploaded to three platforms. Normalizing metadata is what makes this visible.

Decide and document

For each item: keep, consolidate, retire or renegotiate. Record the reason. Refresh the inventory continuously so the next budget cycle starts from current data.
