Preserving history before decommission

What to capture, in what form, and how to keep it queryable.

Start with obligations

List every legal, regulatory and contractual reason you might need to prove training took place, and for how long.

Capture more than completions

Course structures, versions, requirements, certificates, attachments and the original identifiers all matter when an auditor asks a precise question years later.

Keep raw and normalized

Store the original export alongside the normalized records so the source value can always be produced.

Make it queryable

A zip file in a shared drive is not an archive. Records should answer questions without a rebuild.

Assign ownership and access

Preserved data still needs owners, permissions and a retention schedule.
